How it works

Set it up once. Then stop thinking about it.

Import your invoices. See who owes what, at a glance. Put the overdue ones on a sequence that chases politely, escalates firmly, and shows you every message it sent. Here is the whole mechanism, including exactly where the free plan stops and Pro starts.

  1. 01

Import: CSV, Stripe, or by hand

Export open invoices from whatever you invoice with (every system can produce a CSV) and drop the file in. The importer maps common column names automatically, reports per-row problems instead of silently skipping rows, and never needs an accounting-platform integration. Stripe users can pull open invoices directly; a handful of invoices are quicker to type in.

Free imports up to 500 rows per file and tracks 10 active invoices; paid plans track unlimited.

  2. 02

    See the aging picture

The moment data lands you get the classic AR view: buckets from current to 90+ days, total and overdue balances, DSO, and the single biggest overdue balance flagged as the place to start. Nothing here is typed in or cached stale; it is computed from your invoices on every view.

The same engine powers the free in-browser aging tool, so you can try it on a CSV before creating an account.

  3. 03

Assign a sequence and approve it

The default ladder, "Standard chase", 4 steps from a pre-due heads-up to a final notice, is attached to overdue invoices. You see exactly what will send and when before anything goes out. On the free plan the sends are one-click but manual (you are the scheduler); on Pro the sequence runs itself and stops automatically when an invoice is paid or disputed.

Escalation ladder: heads-up 3 days before due, friendly nudge at +3, firm second notice at +14, final notice at +30.

  4. 04

Replies come to you; the log stays with us

Reminders go out under your name with your reply address, so when a customer answers ("processing Friday", "the PO number is wrong"), the conversation lands in your inbox where a human should take it. Meanwhile every send is recorded against its invoice: which step, what text, what time. When someone says they were never told, you have the record.

Chasing is email-only today. SMS and letters are not built, and the pricing page says so.

FAQ

Mechanics questions

Do I have to connect my accounting software?

No, and you currently can't: QuickBooks/Xero sync is not built yet (it's on the public roadmap on the pricing page). Duebay starts from a CSV export, a Stripe connection, or manual entry, which is also why setup takes minutes rather than an implementation project.

Will Duebay email my customers without my approval?

Never on the first run. Sequences are visible and editable before you enable them, and on the free plan every send is a button you press. On Pro, once you've enabled a sequence for an invoice, it runs on schedule until the invoice is paid, disputed, or you pause it.

What happens when a customer replies?

The reply goes to your inbox, not ours, because reminders carry your reply address. Pause the sequence for that invoice while you sort it out; a template arriving mid-conversation is exactly the robotic behavior we built this to avoid.

What does escalation actually look like?

Four steps: a courtesy heads-up 3 days before due, a friendly nudge 3 days after, a firm second notice at 14 days, and a final notice at 30 days that sets a 7-day deadline. The full templates are public in the template library, and they are the product's real defaults, not marketing copy.

Can it charge late fees automatically?

It computes them, with the derivation shown and the state statute cited, from the terms you agreed on the invoice. Whether to add the fee to a reminder is your call; we'd rather show you a defensible number than silently inflate an email.
